MedicoStar Clinic Management Software

Availability: MedicoStar's MBYS, e-Nabız, e-prescription and USBS features are built for the Turkish healthcare system and apply to practices and clinics in Turkey.

MedicoStar is cloud-based clinic management and patient tracking software for private practices, clinics and medical centres. It was developed by Emoda Software together with HEKİMANNE Inc., founded by paediatrician Dr. Görkem Astarcıoğlu, drawing on doctors' everyday clinical practice. Appointments, patient records, consultations, prescriptions, vaccines, stock, finance and patient communication come together on one screen. MedicoStar is registered with the Turkish Ministry of Health as an MBYS (practice information management system); e-Nabız notifications, e-prescriptions, e-reports and ITS (drug track and trace) transactions are handled inside the software. With Emoda's registered USBS (remote health information system), doctors can hold video consultations without the patient installing an app. Consultation screens adapt to each specialty.

What is patient tracking software?

Patient tracking software keeps a practice's patient records, appointments, consultation notes, prescriptions and payments in one place; clinic management software adds stock, finance, staff and reporting. MedicoStar combines both as cloud-based software registered with the Turkish Ministry of Health as an MBYS: no installation, and e-Nabız notifications, e-prescriptions and e-reports are handled from the same consultation screen.

What does the clinic management software cover?

• Appointments and calendar: calendars per doctor and branch; drag-and-drop and recurring appointments, working hours, leave and overlap warnings; automatic SMS reminders when an appointment is booked and a day before.
• Patient tracking and patient card: quick registration with ID check; history, allergies, chronic conditions and medication, documents, lab results with trend charts, past visits and more on one card.
• Consultation: complaint, vital signs, physical examination with ready templates, ICD-10 diagnosis and treatment; auto-save as you move between sections.
• Prescriptions, summaries and printouts: clinic-branded prescription design, discharge summaries, vaccination cards and request forms as PDF.
• Vaccines and screening: national and private vaccines; the next dose is scheduled from the actual administration date; vaccines are deducted from stock automatically.
• Digital forms and consent: privacy, consent and pre-assessment forms are sent by SMS link and signed on the patient's phone; custom templates with the form builder.
• Stock and expiry: expiry and critical level alerts; products used in a consultation are deducted automatically.
• Finance: collections, patient balances, revenue reports, expenses and session packages.
• Patient communication: appointment, follow-up and special-day messages, bulk sending and delivery reports.
• Multiple branches and teams: several branches and departments; each user sees only the patients of their assigned branches.
• Data migration: patient lists import from Excel; our team migrates patient, visit and vaccine history from the previous system.
• Mobile use: most screens have phone and tablet versions; no separate app is needed.

MBYS registered with the Ministry of Health: e-Nabız, e-prescriptions, e-reports and ITS

MedicoStar is registered as an MBYS (Muayenehane Bilgi Yönetim Sistemi, practice information management system) in the Ministry of Health's registration system. Doctors do not re-enter data in the ministry portal; everything is done from the consultation screen.

• e-Nabız (MBYS) notifications: patient registration and consultation details (diagnoses, ICD-10, complaint, height, weight) are sent with the doctor's approval; the result and tracking number appear on screen.
• e-Prescriptions and e-reports: issued electronically from the consultation.
• ITS: scanning the vaccine box's 2D code sends the notification automatically and marks the vaccine record as reported; purchase and consumption transactions are also handled in the software.
• Current SKRS code lists and ICD-10 codes are built in.

Video consultations with a Ministry of Health registered USBS

Video calls in MedicoStar run on Emoda's remote health information system (USBS), approved by the Turkish Ministry of Health. The doctor creates the call from the patient card or consultation, and the patient receives a link by SMS or e-mail.

• No app needed: the patient opens the link, enters a one-time code sent to their phone and joins from a phone or computer browser.
• Call and record in one place: the video stays in a small window while the doctor writes the consultation note; prescriptions and summaries are ready when the call ends. AI Not can be used here too.
• Secure session: only the doctor starts the call; it opens for a set time, can be extended and closes automatically. If the connection drops, the patient rejoins with the same link.
• No recording: audio and video are not recorded; only the time, duration, participants and the doctor's note remain in the patient file.

USBS-only licence

Emoda Software is a registered USBS provider with the Turkish Ministry of Health. Doctors and clinics that keep their own clinic software can license USBS separately. Alongside video calls, a USBS licence covers most of MedicoStar's core screens, such as patient details, consultation records, complaints, medication, diagnosis and treatment, and finance. AI consultation note (AI Not)

The doctor starts AI Not on the consultation screen and talks with the patient as usual. When the recording ends, the conversation is transcribed and the AI drafts the complaint and history, current medication, vital signs, physical examination, diagnosis, treatment and follow-up fields. Suggestions open in an editable window and nothing is written to the record without the doctor's approval. The AI does not diagnose; diagnosis and treatment are taken from what the doctor says. Audio and transcripts are not stored, and the patient's name and national ID number are not sent for analysis. AI Not understands Turkish medical terminology and works in every specialty.

Patient tracking for every specialty

The consultation screen opens according to the department's specialty; different specialties in the same clinic work with their own screens, and unused menus are hidden.

Paediatrics

Percentiles and z-scores with WHO, CDC and Neyzi references, growth charts; national and private vaccine schedules; blood pressure percentiles; infant development and feeding plans; corrected age for preterm infants.

Obstetrics and gynaecology

Pregnancy file with gestational age and due date, G/P/A/L, maternal age and Rh alerts, ultrasound fields and weight chart; expected births list and the newborn's patient card after delivery.

Psychology

Screens in "client" and "session" language; SOAP, DAP and BIRP session notes; scales such as PHQ-9, GAD-7 and DASS-21 sent by SMS and charted; treatment plans and session packages. Private psychotherapy notes are visible only to their author.

Psychiatry

Mental status examination, risk assessment and trend charts; drug level monitoring for lithium, valproate, clozapine and similar drugs, with a list of due checks.

General surgery

Pre-operative assessment, operation notes, wound care and suture removal, pending pathology and biopsy results.

Physical therapy and rehabilitation

VAS pain score, range of motion, muscle strength and orthopaedic tests; session tracking, progress notes and VAS/ROM trend charts; home exercise programmes.

Account types: doctor, nurse and clinic administrator

• Doctor account: appointments and consultations, prescriptions and summaries, AI Not, video calls, payments and own working hours.
• Nurse account (also used by secretaries and assistants): appointments, patient registration, pre-consultation preparation, vaccines and ITS, forms and SMS. The administrator decides which parts of the consultation note they can view or edit.
• Clinic administrator account: adding doctors and staff, branches and departments, roles and permissions, MBYS and SMS settings, prescription design, expenses and audit logs.
• In a single-doctor practice the doctor and administrator accounts are linked; the doctor switches between them with one click.

Security and data protection

• Data is kept in a data centre in Turkey; each clinic's data is separate and sensitive fields are encrypted.
• Role-based access and branch separation: each user sees only what they are permitted to see.
• Audit logs show who changed what and when.
• Privacy notices and consent are collected digitally; records are permanently deleted on the patient's request.

Setup and migration

MedicoStar is cloud-based clinic software and runs in the browser on computers, tablets and phones without installation. Account setup, configuration and training take 1–2 business days; migrated records are checked together with you. The interface is available in four languages, including Turkish and English.

Who is it for?

MedicoStar works as practice management software for single-doctor practices and as clinic management software for multi-doctor clinics, medical centres and multi-branch organisations. Doctors, nurses, secretaries and clinic administrators work in the same system across all specialties.
